The Royal Danish Consulate General in Dubai is seeking to recruit a positive, dynamic, multi-skilled person with a flair for accounting and administration. The successful candidate should have prior experience with accounting and finance, working in financial systems, be very service-minded and have good communication skills as well as attention to detail. The selected candidate must demonstrate a high level of integrity, self-motivation and initiative.

As part of the admin team, you will play a crucial role in ensuring that day to day operation is running smoothly. You will become part of a small team where your ability to keep your composure under pressure is a necessity, as well as your flexibility and willingness to assume routine tasks.

JOB DESCRIPTION

Your tasks will include, but will not be limited to, the following:

  • Assist with accounts tasks, such as payments and postings, bank reconciliations etc.
  • Quality assurance of settlements submitted in settlement system
  • Prepare and quality assure procurement forms
  • Update inventory lists
  • Assist with facility management and scheduling with service providers
  • Support with vendor screening, quotations and procurement forms
  • Assist with various contract proof reading and follow up
  • Support with admin tasks when needed
  • Other administrative or financial tasks as assigned.

PROFESSIONAL AND PERSONAL SKILLS

  • An educational background of relevance to the described duties, at Bachelor level or similar vocational training. Longer relevant work experience will be accepted in lieu of educational background
  • Understanding of, and experience with, finance and budget management
  • Experience with ERP systems (Navision) and bank payments an advantage
  • Ability to work on multiple projects at the same time and to meet deadlines
  • Skilled in Microsoft Office – Excel, Word, Outlook.
  • Fluency in English. Danish language would be an advantage but not a must.
  • Experience with administration (IT, contracts, purchases etc.) would be an advantage.
  • A very high level of professionalism and integrity

  • A thorough and detail-oriented approach to tasks in general
  • Ability to work efficiently and under time pressure and handle multiple tasks at the same time

SALARY AND EMPLOYMENT CONDITIONS

  • You will be employed on a 3-year contract with the opportunity for extension
  • A full-time position, 40 hours per week, on a local contract and with flexible working hours
  • A competitive salary, which will be based on your qualifications and experience
  • 22 working days of paid annual leave
  • Health insurance at comprehensive level (20% employee contribution on part of the insurance premium)
  • Pension saving with 5% employer contribution (top-up on salary)

The Accounts and Administrative Assistant will be employed according to the employment conditions, which are established for locally hired staff at the Royal Danish Consulate General in Dubai and will refer to the Head of HR and Administration. The appointment is subject to security clearance from the relevant Danish authorities.

The Royal Danish Consulate General in Dubai currently has 35 staff members, including four posted diplomats from the Ministry of Foreign Affairs in Denmark. We cover visa, consular and trade and work closely together as one unit with the Royal Danish Embassy in Abu Dhabi.
